This Refund Policy explains how Mind DMC ("we", "our", or "us") handles refunds across the two parts of our Service:
Platform Subscriptions
Monthly Free, Pro, and Max plans for the Mind DMC software platform.
Travel Bookings
Hotels, tours, and transfers booked through Mind DMC and fulfilled by suppliers.
Because these two areas work very differently, each has its own terms below. Please read the part that applies to you.
Please note: Mind DMC does not provide or sell flight tickets, visa services, or travel insurance. Refunds for such third-party products are handled by their respective providers and are not covered by this policy.
Part 1
Platform Subscriptions
Refunds for Mind DMC software plans — Free, Pro, and Max.
Subscription Plans & Billing
Mind DMC offers a free plan and paid monthly subscription plans (Pro and Max), available for individuals and teams. Plan features and prices are listed on our Pricing page.
Free Plan
$0/month with no credit card required — there is nothing to pay or refund.
Monthly Billing
Pro and Max are billed monthly in advance, in US dollars.
Auto-Renewal
Paid plans renew automatically each month until you cancel.
Cancel Anytime
You can cancel a paid plan at any time — see the next section.
Cancelling Your Subscription
You can cancel a paid subscription at any time from your account billing settings, or by contacting us.
- Cancellation stops future renewals — you will not be charged again
- Your plan stays active until the end of the current billing month, and you keep full access until then
- At the end of that period, your account automatically moves to the Free plan
- Downgrading between paid plans takes effect from your next billing cycle
Cancel anytime, no surprises: Cancelling does not trigger a refund for the current month — you simply keep access until the period you have paid for ends.
Subscription Refunds
Paid subscription fees are non-refundable, except where a refund is required by law.
- Monthly fees already charged are not refunded — including for partial months or unused itinerary quota — because your subscription stays active for the full period you paid for
- We do not provide prorated refunds for cancellations or downgrades made mid-cycle
- Our Free plan lets you evaluate Mind DMC before subscribing to a paid plan
- If you believe you were charged in error (for example, a duplicate or incorrect charge), contact us and we will investigate and put it right
Tip: To avoid being charged for a renewal you don't want, cancel before your monthly renewal date. You'll keep access until the end of the period you've already paid for.
Part 2
Travel Bookings
Refunds for hotels, tours, and transfers booked through Mind DMC.
Booking Refund Eligibility
Whether a booking qualifies for a refund depends on the type of service, the destination, and how far in advance you cancel relative to the applicable deadline.
Within Deadline
Cancellations made before the applicable deadline are eligible for a full refund.
After Deadline
Cancellations within the deadline window may be partially refundable or non-refundable.
Supplier-Confirmed
Refunds for confirmed hotels, tours, and transfers follow the individual supplier's terms.
Unused Services
No-shows and services not used after travel has begun are not eligible for a refund.
Please note: All booking refunds are subject to confirmation by the respective travel suppliers.
Cancellation Deadlines & Refund Status
The table below summarises the standard cancellation deadlines that determine booking refund eligibility. "D-15" means 15 days before the travel date.

Advance booking: Bookings should be made at least 14 days before departure. Bookings made within 14 days of travel may have limited availability and reduced refundability.
Non-Refundable Booking Items
The following are generally non-refundable, regardless of when a cancellation is requested:
- Service, booking, or processing fees charged by Mind DMC
- Costs already confirmed and paid to suppliers that fall within their non-refundable terms
- Bookings made within 14 days of departure (last-minute bookings)
- No-shows and services not used after travel has commenced
- Third-party products such as flight tickets, visas, and travel insurance (not sold by Mind DMC)
Booking Changes & Modifications
Where possible, we recommend modifying a booking — for example changing dates or travellers — rather than cancelling it.
- Modification requests are subject to availability and supplier approval
- Changes may incur supplier amendment fees or rate differences
- If a change cannot be accommodated, the standard cancellation and refund terms above apply
Force Majeure
In the case of events beyond reasonable control — such as natural disasters, strikes, government restrictions, or supplier insolvency — booking refunds depend on the policies of the affected suppliers.
Mind DMC will assist in recovering any refundable amounts from suppliers but cannot guarantee refunds for costs that suppliers deem non-refundable under such circumstances.

How to Request a Refund
How you reach us depends on what your request relates to.
Subscriptions
Manage or cancel your plan in your account billing settings, or email info@minddmc.com about a billing question or a charge you believe is incorrect.
Bookings
Email info@minddmc.com from the address used to book, including your booking reference, traveller name(s), and travel dates.
Tip: For bookings, submitting your request as early as possible improves the chance of falling within a fully refundable window.
Refund Processing Time & Method
Where a refund is due — whether for a billing error or an eligible booking cancellation — it is handled as follows:
Method
Approved refunds are issued to the original payment method used at the time of purchase.
Timeframe
Once approved, refunds are processed within 7–14 business days.
Bank & Supplier
Depending on your bank or the supplier, it may take additional time to appear on your statement.
Currency
Refunds are issued in the original transaction currency; exchange-rate differences are not reimbursed.
Processing times begin once a refund has been approved and, for bookings, confirmed by the relevant suppliers.
Changes to This Policy
We may update this Refund Policy from time to time. The latest version will always be posted on this page with an updated date.
